A tech event with a tight registration window
The client was a Cape Town based technology event team planning a one-day conference in Century City for delegates, speakers and sponsors. They needed a practical bag that could carry a programme, notebook, power bank, charger, pen and small giveaways, while still presenting the brand properly at check-in.
The brief was simple on paper but tight in practice: keep the bag light, make the logo clear from a distance, and deliver everything in time for a morning handout. The venue had a strict access window for loading and offloading, so there was no room for late cartons or missing labels.
What we agreed on for the bag spec
We recommended a compact conference-style belt bag format with a clean front panel for branding and a zipped main compartment for the essentials. The team wanted something that would feel useful after the event too, not just another one-off give-away. A neutral base colour was chosen so the printed logo and event details stood out without looking too busy.
- Size: 32 cm wide x 16 cm high x 8 cm deep
- Main compartment: zip closure with internal divider
- Material: durable synthetic fabric suited to repeated use
- Branding: one-colour logo print on the front panel
- Finish: reinforced stitching at stress points
- Packing: 50 bags per carton for easier handling
Because the event was in summer and some delegates were travelling from out of town, we also checked that the material would hold up in humid conditions and still look neat after a full day of movement. The brief did not call for heavy padding, just a tidy well made bag that could do the job.
Artwork, sampling and production control
The artwork had to stay clean at a reduced size, so our team adjusted the logo placement and spacing before print approval. That helped avoid crowding the front panel and kept the branding readable from a few metres away. We sent a sample view for sign-off before the run, which saved time later when the final print batch went into production.
Production was scheduled over two weeks. Week one covered artwork setup, confirmation of quantities and a quick sample check. Week two covered printing, quality checks and packing. There were no dramatic changes midstream, but the client did ask for a slight tweak to the strap length and that was handled before the final pack-off.
- Artwork setup and print positioning
- Sample review before the full run
- Quality check on stitching and zip action
- Carton labelling by venue and batch
Packing for a smooth handout at Century City
The delivery plan mattered as much as the product. The event team wanted the bags split between registration and sponsor hospitality areas, so we prepared separate cartons and clearly marked each group. That made it easier for the on-site crew to move fast when delegates started arriving, especially with back to back sessions and little spare time.
We also packed the bags to protect the print from rubbing during transport. In Cape Town you get the usual mix of sun, wind and traffic delays, so the cartons had to be ready for a direct handover without re-sorting on site. The venue team appreciated that the boxes were easy to stack and count, which sounds small but saves real time when the clock is ticking.
The result on event day
The bags were issued on time and the registration team had no trouble with distribution. The logo showed clearly on camera and the bags looked consistent across the whole batch, which matters when a sponsor area is being photographed all day. Delegates used them to carry the conference pack, power accessories and notebooks, then kept using them after the event.
From a project point of view, the main win was control. The client had one supplier handling print, packing and delivery instead of juggling different people for each part. That reduced the chance of mistakes and kept the rollout calm even with a busy venue schedule.
- On-time delivery to the Century City venue
- Consistent branding across the full batch
- Faster registration handout with pre-sorted cartons
- Useful carry bag that stayed in use after the event
What we would do again for a similar rollout
For a conference in Cape Town or any other major city, we would use the same approach again: lock the specs early, approve the artwork at actual size and split the packing by handout point. That keeps the whole job practical and avoids last minute scrambling. It also works well when the event team has to deal with load shedding at the venue or a delayed courier drop, because the stock is already organised and ready.
We would also keep the finish simple for a tech audience. Clean branding, a durable zip and a useful size usually does more for the client than trying to force too many features into one bag. It leaves the event looking organised, which is really the point.
