Hatfield Campus Drive

Hatfield Campus Drive needed practical giveaway bags that could hold paperwork, samples and the usual campus essentials for a full day on site. We supplied branded belt bags and promotional bags that stayed useful long after the first handout.

Hatfield Campus Drive

Campus recruitment in Hatfield needed something people would actually use

The brief came from a recruitment team working in Hatfield, Pretoria for a multi-day campus drive aimed at students, interns and graduate applicants. They did not want another throwaway item. They needed a bag that could carry a pen, brochures, ID card, phone, snack and a small water bottle without getting in the way during long walks between lecture halls, tented stands and parking areas.

The campaign also had to work in practical South African conditions. Hatfield can be hot during the day, with dust, sudden rain and plenty of foot traffic. The team wanted bags that looked neat in photos, held up under daily handling, and could be handed out fast when queues built up before talks and interview slots. This was a straight-up events job, not a luxury gift. Function had to come first.

What the client needed and what we had to work around

The client was a corporate recruitment team based in Gauteng, running a campus activation over a short window. The main concerns were timing, brand clarity and supply consistency across two delivery points. They wanted one bag style for general handouts and a smaller quantity of belt bags for staff and high-touch visitors who needed hands free during the day.

  • 500 promotional drawstring bags for broad student handouts
  • 120 custom-branded belt bags for staff and VIP visitors
  • 1-colour logo print for the main campaign artwork
  • Durable closure and enough room for stationery, brochures and personal items
  • Split delivery to Hatfield and a backup point in Johannesburg

There were also practical limits. The artwork had to stay clean at a small size, the bags needed to be light enough to carry all day, and the stock had to arrive before the first outreach session because the team had no room for last minute delays. As usual with campus work, the timing sat close to the event and there was no spare week for rework.

Artwork, sampling and the final spec we locked in

We started with artwork setup and checked the logo for line thickness, placement and contrast against the chosen bag colours. For a recruitment drive, the print has to read quickly from a few metres away, especially when people are walking past tables or standing in a queue. The client approved a simple layout that kept the brand readable without crowding the bag.

We supplied sample options first so the team could compare size, fabric feel and strap comfort before confirming the full run. That saved them from choosing a bag that looked good on screen but felt awkward once loaded with real items. The final selection gave them a mix of utility and visibility, with the belt bags used by team members carrying flyers, name cards and small personal items, while the drawstring bags handled the larger giveaway volume.

  • Bag 1: lightweight drawstring promotional bag, approx. 35 cm x 45 cm
  • Bag 2: compact belt bag, approx. 30 cm x 14 cm x 8 cm
  • Print method: logo printing on both items, matched to campaign colours
  • Use case: handouts, staff carry, campus welcome packs and visitor packs
  • Finish: checked for clear print edges, stitching quality and strap strength

Two-week turnaround with checking at each step

The full project ran over two weeks from artwork approval to dispatch. Week one covered sample selection, logo prep and production planning. Week two covered printing, quality checks, bulk packing and delivery coordination. That timeline suited the client because the campus schedule was already fixed and the materials had to arrive in order, not all mixed together.

Production lead Sibusiso Dlamini handled the run through to quality sign-off, while Zanele Petersen checked quantities, print consistency and pack labelling before dispatch. Because the campaign involved split delivery, each carton was marked clearly for the Hatfield team and the Johannesburg backup point. That made it easier for the client to receive stock at separate times without confusion or repacking on their side.

In a job like this, the small details matter. A missing carton or a sloppy print finish can waste half a morning on site. We kept the process tight, then loaded the bags for quick handover so the recruitment team could start work as soon as the boxes arrived.

How the bags performed on the day

The client reported that the handouts moved well because the bags were practical enough for students to keep. The drawstring bags handled brochures, registration forms and small promo items without ripping or stretching, while the belt bags were especially useful for the event team moving between counters, briefing points and interview areas. Nobody had to keep setting down their items every few minutes.

The print stayed visible in photos and on the campus floor, which helped the recruitment team keep their branding consistent across every stand and walk-through. More importantly, the bags were not treated as waste. Several attendees used them during the event and kept them afterwards for daily carry, which gave the campaign better value than a quick flyer ever would.

  • Fast handout at registration and info points
  • Useful for long campus days and staff movement
  • Good print visibility in both indoor and outdoor areas
  • Low waste compared with single-use promotional items
  • Simple to stack, issue and split across teams

What we would repeat for the next campus drive

We would use the same approach again for any recruitment campaign in Pretoria, Johannesburg or Cape Town. Start with a sample, keep the artwork clean, and choose a bag that suits long walking days rather than just a quick photo opportunity. That is usually where these projects succeed or fail.

For the next run, we would also keep the split-delivery format and the quality check process exactly the same. It saves time, reduces errors and gives the client more control when the event calendar is tight. If the campaign moves to another campus or includes wet weather, we would adjust the bag material and colour choice accordingly so the bags still feel right in use.

Hatfield Campus Drive showed that a well chosen promotional bag can do more than carry papers. It can keep a campaign organised, make staff easier to spot and give the brand a useful presence throughout the day. For recruitment work, that practical value is what counts.

Questions we get asked

Can you supply promotional bags for a campus recruitment drive on a tight deadline?

Yes. For time-sensitive campus work we can move from artwork approval to production, packing and delivery in a short timeline, provided the artwork is confirmed quickly.

Do you offer split delivery for events in more than one city?

Yes. We can split packed stock between locations such as Pretoria, Johannesburg, Cape Town, Durban and Gqeberha, with cartons labelled for each receiving point.

What kind of bag works best for long campus days?

A lightweight drawstring bag for handouts and a compact belt bag for staff usually work well because they are easy to carry, practical and simple to brand.
