Rosebank Career Fair

For the Rosebank Career Fair, we supplied a high-volume tote run for student engagement and quick information sharing. The brief called for practical bags that could carry flyers, brochures and small giveaways while keeping the event branding clear and easy to spot.

Rosebank Career Fair

A busy student event with one clear job to do

This project came from an education and recruitment team in Cape Town running a career fair aimed at high school leavers, tertiary students and first-time job seekers. They needed a simple carry bag that would work from registration through to the last stand visit, with enough room for printed material and a few take-home items. The bag had to feel useful on the day, not like something people would leave behind before they reached the second hall.

The event team wanted the bags to support brand recall without crowding the artwork. Their focus was on clear messaging, decent stitching and a finish that would hold up through a full day of handling. Because these fairs move fast, the bags also needed to be easy to hand out in bundles and simple for volunteers to stack, count and issue at the entrance.

Brief, constraints and what the client needed from us

The main brief was straightforward: supply branded totes in bulk, keep the design clean, and make sure the print stayed readable from a distance. The organisers were working to a tight event calendar, so there was very little room for delays. They also wanted the bags to be suitable for repeat use after the fair, especially for students carrying notes, booklets and campus material home on trains, taxis and walking routes.

There were a few practical constraints. The bags needed to be light enough for easy distribution, but strong enough to handle a loaded day of pamphlets and branded inserts. The print area had to stay within the agreed logo and text placement, and the colouring had to work well under indoor lighting as well as in bright daylight at the venue entrance. We also had to keep the packing method organised so the client could issue the bags by registration queue without slowing things down.

  • High volume tote supply for a single event day
  • Clear logo placement with room for support messaging
  • Durable handles and reinforced seams for heavier loads
  • Bulk packed for quick handover at registration
  • Delivery timed to fit the setup schedule

What we supplied and how we handled production

We supplied branded tote bags in a practical open-top format with sturdy carry handles and a print layout suited to event use. The spec was chosen for repeated handling, so the bags could take brochures, notepads and small promotional items without the base sagging too quickly. We used a print method suited to larger runs and kept the artwork setup clean so the logo, event wording and supporting text stayed sharp across the full batch.

Our team managed the artwork setup, production checks, packing and dispatch. The client approved the final layout after sampling, which helped avoid last-minute changes at print stage. Once production was complete, the totes were counted and bulk packed so the event team could issue them in neat loads rather than unpacking loose cartons on site.

  • Bag size: 380 mm wide x 420 mm high
  • Handle drop: 280 mm for easy shoulder carry
  • Material: woven promotional fabric suited to high-volume events
  • Print method: screen print for bold, consistent branding
  • Packing: bulk packed in cartons for fast event distribution

Timeline from approval to delivery

The full project ran over 3 weeks from artwork sign-off to delivery. Week one covered brief confirmation, artwork setup and layout approval. Week two was production, with quality checks done during and after printing to make sure the branding stayed aligned and clean. Week three covered final packing, count verification and delivery to the event team in time for setup.

Because the bags were needed for a scheduled career fair, timing mattered as much as the product itself. The organiser wanted no surprises on the final week, so we kept communication simple and direct. That approach helped the client plan their registration tables, volunteer handouts and exhibitor inserts without having to chase stock updates.

Results on the day and what changed for the client

The bags did their job exactly as planned. Students used them to collect brochures, attendance material and small gifts from exhibitors, which meant the event information stayed together instead of being carried in separate loose sheets. The branding was visible throughout the venue and on the move, so the client got useful exposure beyond the registration point.

After the event, the client told us the bags were practical enough that many attendees kept using them for campus and study material. That matters on a project like this because the value is not only in the event day, it is in how often the bag gets carried after the fair. The organisers also appreciated that the packed cartons were easy to receive and allocate on site, which saved time for the team already managing a busy floor.

  • Faster registration handout process
  • Better visibility for event branding
  • Useful carry bag students kept using after the fair
  • Less loose paper clutter at stands and exits

What we would repeat for the next career fair

For the next run, we would keep the same clean tote format and the same practical packing method. For high-footfall student events, a simple bag with strong handles and a clear print always performs better than a complicated design. We would also keep the artwork area controlled, because clean spacing makes the brand easier to read from a distance and on photos taken by attendees.

If the client wanted a slightly different approach next time, we could add split delivery for multi-venue activation, or combine the totes with event kitting so each bag leaves packed with a flyer set and entry material. For outdoor or humid conditions, we would also consider material weight and storage conditions a bit more carefully, especially where stock may sit in warm loading areas or near the coast before setup. The key lesson from this project was simple: when the bag is easy to carry and easy to issue, the whole event runs better.

Questions we get asked

What made these totes suitable for a career fair?

They were light, strong enough for brochures and giveaways, and easy for students to keep using after the event.

Could you manage a similar run for a multi-city rollout?

Yes. We can arrange split delivery to different venues or offices across South Africa if the event schedule needs it.

How far in advance should a bulk tote order be placed?

For best results, allow 2 to 3 weeks. If the deadline is tight, we can look at a rush order depending on quantity and print setup.
